New Employee Start information

At SOHAS we have seen a steady rise in people aged 18-30, who have started work in the past 3 months who are struggling to carry out their job. We have found that often the people we talk to have not been given basic information on how their employer operates and how everything works.

It’s aimed at micro businesses, who often don’t have policies or HR support that are important for new employees. It’s not meant to be a comprehensive guide and not everything in the information is appropriate to every organisation.

We’ve written this information because people are often not told basic information that will help them make a good start in their job.

What information we need from you to create your personal record and what information we will give you

  • National insurance number
  • Proof of address through a recent bill or driving license
  • Your bank details so that you can be paid
  • How you are paid, the method and date
  • Create a personal record sheet that includes details of your next of kin
  • Details of our health insurance provider
  • Details of your annual leave entitlement
  • Information on our pension provider.

Organisational overview

This will take the form of a meeting with your manager. The overview will include:

  • The history of the organisation, its structure and culture.
  • The work the organisation carriers out and how your role contributes to to it’s running.
  • Information on the probation period and how your work is monitored and reviewed.
  • A walkthrough of the building in the result of alarm going off and where the assembly point is.
  • Details on how you are managed, including attendance of meetings and reviews

You will have a chance to ask any questions or ask for clarification on anything you are unsure about.

IT equipment and software

  • You will be given a laptop which has been set up with login and password
  • An overview of Office 365 software we use and details of your username and email address
  • How and where you save your files
  • The password for the email quarantine system
  • Home working guidelines and our policy on hybrid working.

General Information

  • How Purchase Orders, Petty Cash and Travel Expenses systems work
  • Where is the stationery kept or ordered.
  • How the post system works.
  • What keys or access cards you will need for the building and office.
  • What the office opening times are.
  • What are the rules for using the kitchen or canteen and where you can eat your lunch.

Meetings and events during your first month

  • Talking to managers who lead teams that you will interact with
  • Carrying out job shadowing with colleagues in your team.
  • Information on how meetings are structured and organised and your role within them.
  • Weekly meetings with your line manager to discuss how you are settling into your job.
